Changing a tour: dates and travellers

Plans change — and your tour can flex with them. Shifting the dates, swapping the hotel, adjusting the board type or the list of travellers is usually possible, but it all comes down to the tour operator's rules and how much time is left before departure. Here's what changes painlessly, and what comes with a surcharge.

Almost any element can be changed, but each change triggers a recalculation of the whole package. Below is what people adjust most often, and how flexible it tends to be.

The core rule is simple: the closer to departure, the harder and pricier the change. Early on, the operator usually recalculates the package with little or no penalty; closer to the date, airline and hotel cancellation terms kick in, and part of the money may be non-refundable. Always check the exact deadlines and penalties in the specific tour's terms.

  • Well before departure — changes are usually cheapest; most often it's just the price difference of the new option.
  • A few weeks out — operator fees and partial hotel charges may apply.
  • A few days out — a change often counts as a cancellation with heavy charges; sometimes a top-up is easier than a change.
  • After the tour starts — the parameters usually can no longer be changed.
Don't wait until the last dayEven when a change is possible in principle, the operator depends on airline and hotel response times. A request a day before departure may simply not go through in time — leave yourself a buffer.

Changing the number of travellers (adding a child, removing one adult) is possible if seats and rooms are available — the package is recalculated for the new party. A separate case is swapping one traveller for another: this is sometimes possible, but it depends on the air-fare rules and the operator. Have the new traveller's full passport details ready: the name on the ticket must match the document.

A replacement is usually cheaper than a full cancellationIf one traveller can't go, don't rush to cancel the whole booking. Ask your manager about replacing the participant — it often saves most of the cost compared with cancelling and rebooking.

Open the booking

Go to My bookings and select the tour.

Describe the change

Spell out what you want to change: new dates, hotel, board or travellers. The more precise the request, the faster the reply.

Wait for the quote

The manager requests the option from the operator and sends back the recalculated price and how long the offer is valid.

Confirm and pay

Once you agree and pay any difference, the change is locked in and the updated documents appear in your account.

Can I change my tour dates for free?

Sometimes — if departure is far off and the new option costs the same. As a rule, though, there's a price difference plus a possible operator fee. Check the exact terms in your booking rules.

Will I get the difference back if the new option is cheaper?

It depends on the operator. Sometimes the difference is refunded, sometimes part is kept as a change fee. This is spelled out in the quote before you confirm.

Can I replace a traveller with someone else?
